Afternoon / Evening Porter (Concierge & Administrative Support)

Massey College is seeking an Afternoon/Evening Porter for a full-time, fixed-term position.  This position reports to the Director of Business Operations.

Massey College is frequently visited by a wide range of people including long-affiliated Fellows, Visiting Scholars, guests for events, or curious passing tourists. It is the task of our Porters, as the first point of contact for the College, to provide courteous and calm service, while ensuring the continued safety and security of Massey College and its guests. As the Afternoon/Evening Porter, you will be called upon to perform these duties Mondays through Fridays from 3:00 pm -11:00 pm.

Reporting to the Director of Business Operations and working closely with the Building Manager, you will manage guest arrivals/departures and check ins, respond to and refer residents’ and guests’ questions and concerns in person and by telephone, assist with College event preparations, and maintain the College’s physical security. As Porter, you will be responsible for assessing and correcting small maintenance issues including resetting electrical breakers, minor plumbing issues, etc. and reporting/escalating larger issues to the Building Manager.  This role includes assisting the team by performing administrative tasks including guest list management and reporting, website updating, merging word documents, managing incoming and outgoing mailings and deliveries, producing name tags, etc.

To be successful in this position, you must be hospitable, punctual, patient, have good communication skills and the demonstrated ability to exercise judgement responsibly and in accordance with College policies.

Skills, Knowledge and Experience Required

  • Excellent communication skills, personable, and interested in helping people.
  • Able to interact effectively with diverse groups of clients and College staff
  • High ethical standards and confidentiality with an ability to handle sensitive information / situations
  • Ability to exercise good judgement in potentially stressful situations, enforce College policies and are comfortable saying “no” with tact to unreasonable requests
  • Ability to adapt to changing circumstances
  • Excellent attention to detail and administrative skills
  • Strong organizational, planning and time management skills
  • Intermediate computer skills with experience with MS Office and Adobe. Experience with WordPress and CRM an asset
  • First-aid / CPR certification an asset
  • Post-secondary education 
  • Experience in an academic environment an asset
  • Experience as security / help desk / concierge staff an asset

Compensation

Range: $45,000 – $55,000, annualized + 4% vacation pay.
